How to Reconnect Google Workspace When the Connection Expires

When Workalizer can no longer refresh its Google Workspace credentials (for example after a revoked refresh token or an invalid_grant response from Google), data sync pauses until a Workalizer admin reconnects Google Workspace. This guide explains what you will see, who can reconnect, and how to restore access without changing your existing data or processing state.

Who Benefits

  • Workalizer admins: To reconnect Google Workspace from the in-app banner and restore sync for the whole workspace.
  • Managers and other users: To recognize when sync is paused and know to contact a Workalizer admin.
  • IT and Google Workspace admins: To approve required Google permissions when the reconnect OAuth consent screen appears.

What Happens When the Connection Expires

Workalizer stores Google OAuth credentials for your workspace. If Google rejects a token refresh, Workalizer marks the Google integration as needing reauthentication. While that flag is set:

  • Background sync cannot continue until credentials are restored.
  • A warning banner appears at the top of the app for signed-in users.
  • Existing historical data and processing state are not deleted or reset when you reconnect—only access is restored.

What You Will See in the App

Non-admin users see a banner that sync is paused and that they should contact a Google Workspace / Workalizer administrator. Non-admins cannot complete the reconnect flow.

Reconnect Screen

After an admin clicks Reconnect now, Workalizer opens the reconnect setup page (the same post-install flow, in reconnect mode). The page shows:

  • Label: Reconnect required
  • Title: Reconnect Google Workspace
  • Message that access was lost and that signing in again restores the integration without changing existing data or processing state
  • Primary button: Reconnect Google Workspace
  • Secondary option: Copy Setup URL (share the setup link with another admin if needed)

Step-by-Step: Reconnect as an Admin

  1. Confirm you are a Workalizer admin for the affected workspace. Only admins can reconnect Google Workspace.
  2. Open the banner action: Click Reconnect now in the yellow connection-expired banner at the top of any main page.
  3. Start OAuth: On the reconnect screen, click Reconnect Google Workspace. Google will ask you to sign in and approve the required Workspace permissions. Approve all requested scopes; Google must return a refresh token for reconnection to succeed.
  4. Wait for confirmation: After a successful reconnect, Workalizer clears the “needs reauth” state, the banner disappears, and sync can resume. Your existing data and processing state remain unchanged.

Important Rules

  • Admin only: Reconnection is rejected if the signed-in user is not a Workalizer admin for that workspace.
  • Only when required: The reconnect path is available when the workspace’s Google integration actually needs reauthentication—not as a routine reinstall.
  • Permissions: If Google does not return a refresh token, approve all permissions (and use the consent prompt if shown) and try again.
  • Non-admins: If you see that data sync is paused, contact a Workalizer admin; you cannot reconnect from a non-admin account.
