How to Use Search and Filters in Workalizer
Workalizer uses search and filters across Dashboard, Apps, and Performance Review to narrow data by org unit, time period, activity label, and other criteria. This guide explains how to use them so you can find the right scope and drill into specific items quickly.
Who Benefits
- Team Leads and Department Managers: To scope reports to their org unit and compare time periods or labels.
- HR and Operations: To run organization-wide or filtered views for audits and compliance.
- All users: To get from a high-level Dashboard view to specific documents or meetings.
Widget Access
Filters appear at the top of most Workalizer views: Dashboard (/dashboard/), Apps (Gmail, Drive, Meet, Chat, Gemini), Performance Review, and Work Patterns. Dedicated search and filter UIs live under Apps: use Drive Advanced Search for documents (see Drive Document Search) and Search Meetings for meetings (see Meeting Search).
Detailed Functionality
Common controls include: Org Unit (or equivalent) to limit data to the whole organization or a chosen department; Period (e.g. Week, Month, 3 Months, Year, or custom date range) to set the timeframe; and, where available, Activity Label or other dimension filters. In document and meeting search, additional filters (e.g. file type, date, owner) let you narrow results. Tables and charts often support hover for tooltips and click-through to item details.
Step-by-Step Guide
- Choose the view: Open Dashboard, Apps (and the right tab), Performance Review, or Work Patterns.
- Set Org Unit and Period: At the top, select Org Unit (e.g. All or a specific unit) and Period. All widgets in that view update to the same scope.
- Use extra filters where available: In Drive or Meeting search, apply filters (e.g. date range, owner, file type) to narrow the list.
- Drill down: Hover over chart segments or table cells for details; click through to open Drive or Meet item details when the UI supports it.
- Combine with AI Insights: After filtering, use the AI Insights button on supported widgets for summaries or recommendations.
