How to Search and Filter Drive Documents

Drive Document Search in Workalizer lets you find and filter Google Drive documents by activity, date, ownership, and other criteria. Use the searchable document table and filters to locate specific files, audit sharing, or prepare for deeper analysis in the Drive Documents Report Table or Drive Insights Table.

Widget Access

Go to Apps and open Drive Advanced Search (or the equivalent search entry point for Drive). You will see a Documents Table and Search Filters. The same Search and Filters concepts (org unit, period, and optional dimensions) apply; use the top-level filters plus any document-specific filters to narrow results.

Detailed Functionality

The view shows a searchable, filterable table of documents. Columns typically include document name or identifier, owner, activity metrics (e.g. views, edits), dates, and possibly sharing or label. Use the filter controls to set date range, org unit, activity label, file type, or owner. Results update as you change filters. Clicking a row often opens the Drive item details page for that document. For report-style document lists with statistics, use the Drive Documents Report Table in the main Drive tab.

Step-by-Step Guide

  1. Open Apps > Drive Advanced Search: From the main nav, go to Apps and open the Drive document search view.
  2. Set scope and filters: Choose Org Unit and Period (and any document-specific filters such as owner, date range, or activity label).
  3. Run or refine search: Use the search/filter controls to narrow the list. The table updates to show matching documents.
  4. Review the table: Scan columns for name, owner, activity, and dates. Sort or adjust filters as needed.
  5. Open item details: Click a row to open the Drive item details page for that document.
